How Do I Change The Timing Of A Reminder Campaign?

Your reminder campaigns (such as oil change reminders) within Retention Pro are sent out based on the “Triggers” set for that particular Campaign.

If you notice that your reminder campaigns are going out too quickly you may want to adjust the Triggers on the Campaign which can be done from the Campaign Edit screen.

 

First, click on Campaigns at the top of the screen.

Then, click on Text Message under the left side menu options.

Finally, click on Edit next to the Campaign you wish to make edits to.

You will now be on the Campaign Edit screen, from there you will simply scroll down to where you see a section titled “Triggers” above the sections for Filters.

The Triggers on the Campaign will tell the system when to send out this particular campaign based on the previous Repair Orders for that customer. (The look back when the campaign is first activated is the last 2 repair orders)

In this case the oil change reminder would send out 2 days after it hits either 180 days since their last Repair Order that included an Oil Change OR an estimated 4,000 miles/kilometers since the last Repair Order that included an Oil Change; which ever comes first.

The system will attempt to estimate a customer's mileage since the last oil change by looking at the mileage listed on their previous Repair Orders.  For example; If a customer's vehicle shows 8,500 for mileage during their visit on 2/10/2024 and then 9,000 for the mileage during their visit on 5/21/2024 then the system will estimate that the customer drives approximately 5,000 miles every 14 weeks which would cause them to receive the reminder prior to the 180 days.
