How to configure my Email Settings in Report Pro

Things To Note

  • Each machine is configured separately and you can use the same email on all workstations or different, it's your choice.

  • Email is sent using SMTP via your email provider. Many email servers do not place a copy of mail sent using SMTP in your Sent folder; Report Pro cannot force this to happen. The alternative option is to use the default email client on your computer.

  • Using the DEFAULT EMAIL CLIENT option does not allow for email addresses entered in the To field of the email to be saved back to the customer record in your Shop Management system

  • If using GMail or Google Business email accounts you must have "Less Secure Apps Access" turned on in order for this to work

How To

  1. Open your Report Pro software

    1. Using the default email client on your computer (Outlook, Windows Mail, etc..)

      1. Select the Settings tab from the Report Pro software header

      2. Select the Email Settings button from the Report Pro software header

      3. From the Report Pro pop-up window

        1. Check the box Use Default Mail Instead (Outlook, Windows Mail, etc...)

        2. Select the Send Test Email button

        3. If you want a default message to accompany that email, fill out the Default Email Body field from the Email Settings menu

        4. Select the Save & Close button on the left

    2. Using SMTP (Simple Mail Transfer Protocol) (Gmail, Yahoo, Verizon, Aol, Comcast, etc...)

      1. Select the Settings tab from the Report Pro software header

      2. Select the Email Settings button from the Report Pro software header

      3. From the Report Pro pop-up window

        1. If Settings are blank continue below

          1. Select the Email Setup Wizard button

            NOTE: If the automated wizard does not work, enter the host, port (and if it is a secure connection), email address, and password for your email. These should be available from your email provider if not already known.

          2. From the Email Setup Wizard pop-up window

            1. Fill in Display Name (Example: Bolt On Technology)

            2. Fill in Email Address (Example: support@boltontechnology.com)

            3. Fill in your Password and retype password

            4. Select the Next button

            5. Email settings will be applied

        2. Select the Send Test Email button

        3. If you want a default message to accompany that email, fill out the Default Email Body field from the Email Settings menu

        4. Select the Save & Close button on left

    3. Prompt for customer email on Invoice load

      Use this feature when capturing emails from customers is on your high priority list. It may be a little over-bearing for daily use, but gets the point across to you or your service advisor when capturing email addresses is an absolute must for your business. Keep in mind that when sending an email via Report Pro, if no email address exists, the user will be prompted to save the email address back to the customer record (Not when Use Default Mail Client Instead is selected)

      1. Select the Settings tab from the Report Pro software header

      2. Select the Email Settings button from the Report Pro software header

      3. From the Report Pro pop-up window

        1. Check the box next to Prompt for customer email on invoice load at the bottom of the screen

    4. Send CC to shop's email address

      This does not apply when Use Default Mail Client Instead is selected. Your email service provider should automatically save a copy of mail sent via Simple Mail Transfer Protocol (SMTP) to your sent folder on the email server. If you find that your email service provider is not doing this, use this alternate method of CC'ing yourself instead. Using this option will copy the email address configured to send from.

      1. Select the Settings tab from the Report Pro software header

      2. Select the Email Settings button from the Report Pro software header

      3. From the Report Pro pop-up window

        1. Check the box next to Send cc to Shop's email address from bottom of the screen
